St. Lawrence College Retirees Association
Annual General Meeting
May 18, 2022
The AGM was held again this year at the Cataraqui Golf Club. The social time prior to the meeting and over lunch allowed for some welcome interaction among colleagues and friends.
In the absence of the Association Secretary, the Minutes were compiled by Dick Tindal with contributions from other executive members. Item numbers refer to the agenda previously circulated.
The meeting was opened by Pennie Carr-Harris who welcomed everyone and thanked them for coming out. She also thanked Dick Tindal for arranging the lovely venue.
#1. Report of the President, Pennie Carr-Harris
Pennie outlined the ‘event calendar’ for 2022. She also identified the Association 2022 objectives: 1) the need to grow the membership; 2) improving our marketing strategies and materials; and 3) financial planning. To that end, she stated that: she and Nancy Sudak will be presenting a workshop at the College’s 2022 Learning Conference to introduce the Association to potential members; that a webinar will be created of this presentation which will be located on the HR intranet site for future potential retirees; periodically, the Association will place articles in the newsletter published by the College HR Department; and, the documents given to new retirees are in the process of being ‘refreshed’.
She also introduced two motions to amend the Association Constitution.
i) To revise Section 4.4 to add 4.4.6 Executive Members at Large – shall assist in the operation of the Association, as needed. This is to enable the Executive to include long standing former executive members to continue to serve the membership and to enable members to ‘try out’ an executive role without having to take on an Officer position.
Moved by Pennie Carr-Harris and seconded by Nancy Sudak. Carried.
ii) To revise Section 4.5, the Election Process, by removing Section 4.5.2 - A nominating committee, consisting of no less than three members, will be appointed by the Executive and will be charged with the responsibility of presenting at least one nominee for each executive position at the succeeding Annual Meeting; and, Revising 4.5.3 to read ‘Nominations will be accepted from the floor at the Annual Meeting, including those of current Executive Members, subject to the approval of the nominee, in writing or in person at the meeting.’
Moved by Pennie Carr-Harris and seconded by Marg Smith. Carried.
NOTE: Constitution sections will be renumbered, as required by these amendments.
#2. Treasurer’s Repot, Thelma Mott
Thelma reported that the Association had a balance of $5803.35 as of May 1, 2021. There were very few activities during the year since, because of COVID. Expenditures included a donation to St. Vincent de Paul and the provision of a $500 student bursary. The current balance is $5018. Thelma reported that we have 103 Life Members and 26 annual members up to date with their payments. Adoption of the Treasurer’s Report was moved by Bill Kirby and seconded by Nancy Sudak. Carried.
#3. Election of Officers
With last year’s AGM delayed until October 2021, a full term was not served by the existing executive members. Given the circumstances, Bill Kirby moved to keep the current executive. Seconded by Marg Smith. Carried.
The Executive will now include the Executive Members at Large (as per revised section 4.4.6 of the Constitution) who are currently Clare Rayner, Bill Kirby, and Dick Tindal.
#4. C. Richard Tindal Award of Merit
Pennie informed the group that the C. Richard Tindal Award of Merit plaque has been placed on the recognition wall outside the HR Department and that the College paid for the plaque and the engraving. She reiterated the award criteria – ‘to recognize individuals for their dedication to the development and success of SLC and their exceptional support of the Retirees Association.’ and outlined the nomination process, as stated in the AGM invitation email sent by Janet Reid. Nominations are being sought from the membership. A committee of the President, Vice-President and Secretary will be reviewing nominations received. It was agreed that one award would be granted annually, where appropriate.
#5. SLC Retirees Association Student Bursary Award
Pennie reported that the award had been granted in 2021 to a Kingston student, in accordance with the criteria established by the Association. While the Association has not heard anything from the student, the College Awards staff have assured us the award was greatly appreciated. The plan is to continue this award in 2022.
#6. Charitable Organization donation
Pennie asked for nominations from the members present. Bill Kirby nominated Lionhearts. No other nominations were put forward. Moved by Bill Kirby and seconded by Nancy Sudak. Carried.
